US Cold Storage Customer Service Admin in Wilmington, Illinois

PRIMARY FUNCTIONS:

The Customer Service Admin will be responsible for providing Customer Service / Reception assistance and guidance for their assigned site.

Key responsibilities include but are not limited to:

  • Accuracy of all paperwork produced.

  • Follow all customer requirements.

  • Assist supervision/management as needed.

  • Answer incoming phone calls

  • Follow company policies, guidelines and work instructions.

  • All CSR will be expected to learn at least one other CSR position.

  • Maintain professional relationship with the carriers and customers.

  • Follow customer procedures

  • Professional and courteous to team members.

Functions may vary dependent on areas of operation.

DUTIES AND RESPONSIBILITIES

Include the following. Other duties as assigned.

  • Dealing with customer rush shipments

  • Daily delivery date change requests, including entering in Lean

  • Handle outgoing/incoming mail

  • UPS, Fed Ex shipments

  • Petty Cash and bank deposits

  • Maintain COI

  • Office and copy machine supplies

  • Manually creating outbound orders, including allocations

  • Running product recall

  • Hold & Release product

  • Updating product master and profiles

  • Adding consignees

  • Updating/adding task notes

  • Verifying, then applying extra charges

  • Verifying product on hold has authorization to be held

  • Able to use Webdocs, Phenix, e-uscold, Microsoft

  • Chep reconciliation/ordering

  • Administrative duties for the facility

Miscellaneous

  • Maintain a professional manner and appearance and communications at all times.

  • Participate in staff and/or customer meetings if required.

  • Filing

  • Greet visitors arrival at main door, maintain visitor book

  • Responsible for head count in drills

Safety, Housekeeping, Security

  • Follow posted security procedures at all times while in the building.

  • Maintain a clean, neat and orderly work/lunch room area.

  • Required to attend Ammonia Training Class yearly.

Responsibility and Authority

  • Initiate action to prevent the occurrence of any non-conformities relating to product, process, and quality systems.

  • Identify and record any issues relating to product, processes and/or quality.

  • Initiate, recommend, or provide solutions through appropriate channels.

  • Verify the implementation of solutions.

MANDATORY JOB REQUIREMENTS

  • Have good arithmetic skills.

  • Be able to read.

  • Capable of following verbal and written instructions.

  • Available to work various shifts.

  • Capable of sitting for extended periods of time.

  • Be organized and able to prioritize duties

  • Understand and follow company policy as stated in the employee handbook.

  • Pleasant and proper phone etiquette.

Education: High School Degree preferred

Experience: 1 to 3 years preferred.

-Excellent communication skills, written and oral.

  • PC, leadership and planning skills helpful.

-Experience in AS400, Outlook and Microsoft Office preferred.

-Experience with warehouse paperwork preferred.
