Design Firm in Chicago seeks an Executive Assistant to support the Founder/President. The Executive Assistant will provide the highest level of executive support needed to drive the efficiency and effectiveness of the Partner. This person will interact with creative design professionals and will act as a critical link between the President and the internal teams in all the offices. They will also manage the relationships and connections with the external clients and consultants. The ideal candidate will be skilled at addressing competing demands with a calm and steady presence and a can-do attitude. Responsibilities : Provides superior executive support in a proactive manner to the Founder/President. This position requires someone who excels at complex scheduling, is extremely detail-oriented, and works well under pressure. A track record of maintaining the strictest confidentiality is a must. Key responsibilities include but are not limited to: Calendar management, developing streamlined systems of communication to ensure Founder/President is informed of and prepared for important meetings and deadlines. Key point of contact for clients and external collaborators on behalf of the President, handling interactions with sensitivity and confidentiality. Assisting with efficient reporting and submittal of timesheets and expenses. Leading logistics, booking and coordination for travel and speaking engagements. Managing contacts database. Developing relationship with key clients, vendors, and colleagues as directed. Coordinating logistics and maintaining records for licenses, memberships, committees, speaking engagements, etc. Maintaining the strictest confidentiality regarding business and personal affairs. Assisting with some personal tasks as needed.

The ideal candidate will have 10+ years’ supporting C-Suite Executives. The Executive Assistant must have a Bachelor’s degree from an accredited institution. A passion and demonstrated aptitude for executive support. A positive, diligent attitude and willingness to step in and solve issues. Excellent organizational, time management, and multi-tasking skills. Must be a proactive self-starter who can move tasks and initiatives from concept to completion. Ability to maintain highest level of confidentiality, exceptional judgment, diplomacy, and professionalism. Excellent verbal and written communication skills using a variety of media. Must have Expert level competency with entire MS Office Suite (including Excel and PowerPoint), Adobe Creative Suite and/or design a plus. Experience managing other team members is a plus.
