CONTRACTS COORDINATOR

CHICAGO DEPARTMENT OF AVIATION

JOB ANNOUNCEMENT

NUMBER OF VACANCIES: 1

Under direction, coordinates and directs the preparation and processing of procurement contracts for the Chicago Department of Aviation.

ESSENTIAL DUTIES:

  • Manage financial budget accounts for all building trades and custodial trades.

  • Ensure that the trade groups comply with terms and condition of City contracts.

  • Order all material for all the trade groups, custodial, H & R plant and AMC Building.

  • Order material for large scale construction projects for contractors.

  • Order all energy savings materials for the Airport.

  • Maintain inventory levels in the Warehouse which has about 7,000 different commodity codes.

  • Work with Facilities on all projects with material cost and design.

  • Work with Capital Finance on PMO projects with material cost and design.

  • Work with all other consultants on projects with material cost and design.

  • Work with Aviation’s contract section on developing new contracts, providing cost estimates, scope of contract and material catalogs or line item descriptions.

  • Attend pre bid meetings.

  • Approve and sign lowest or approved bidder on contracts.

  • Liaison for the CDA for Procurement committees to help develop new contracts.

  • Supervise Chief Storekeepers.

  • Supervise staff for stock and nonstock materials.

  • Supervise auditing of invoices for payment.

  • Supervise trade sections on deciding what material is deemed no longer use at the Airport.

  • Update City works software with updated price and verbiage

  • And, other job related duties as required.

Hours: 7:00 AM – 3:30 PM

NOTE: Must be flexible to early and/or late meetings/schedule.

NOTE: This is a 24/7 on-call operations, based on operational needs.

Qualifications:

Graduation from an accredited college or university with a Bachelor’s degree in Business Administration, Public Administration, or a directly related field of study, plus four years of experience in the procurement of a variety of materials, supplies, and services; or an equivalent combination of education and experience.

SELECTION REQUIREMENTS:

This position requires applicants to complete an interview. The interviewed candidate(s) possessing the qualifications best suited to fulfill the responsibilities of the position will be selected.

NOTE: The candidate selected for hire must pass an airport background check and a Security Threat Assessment (STA).

Preference will be given to candidates possessing the following:

  • Previous work experience in a governmental or public sector agency involving the procurement and negotiation of agreements for the acquisition of good and services

  • Previous supervisory experience related to the position

  • Previous work experience purchasing and contract administration within the public sector

  • Previous work experience in procurement and contract review (i.e. specifications, modifications, amendments, and requisitions

  • Previous work experience requiring large scale inventory control, warehousing or storekeeping

  • Previous work experience preparing supply and equipment inventory reports, and requisitions for supplies and equipment

  • Knowledge of Microsoft Office applications

VETERANS PREFERENCE NOTE : The City of Chicago offers Veterans Preference to both current, active military personnel AND military personnel who have served in the Armed Forces of the United States and have received an honorable or general discharge. Eligible candidates must have at least six months of active duty documented.
